Understanding post statuses

Every post in Say Less Office has a status that tracks where it is in your workflow. There are six of them, and together they cover the entire life of a post from the day you draft it to the day it goes live. You'll see the status on every post card as a colored badge.

What each status means

  • Draft - you're still working on the post. Only you can see draft posts.
  • Review needed - you've sent the post to your client and they haven't looked at it yet.
  • Revision needed - your client looked at it and sent it back with changes to make.
  • Approved - your client said yes. The post is ready to be scheduled.
  • Scheduled - you've picked a schedule date. This tells everyone when the post is supposed to go live.
  • Published - the post is live on the actual social platform. You mark this yourself after posting it.

How a post moves from Draft to Published

The straightforward path from a fresh draft to a live post:

  1. You start a post as a Draft in the composer.
  2. When it's ready to show to the client, you send it for review. Its status becomes Review needed.
  3. Your client opens their portal, walks through the post, and hits Approve. It becomes Approved.
  4. You give it a schedule date. It becomes Scheduled.
  5. When the date arrives, you post it to Instagram (or TikTok, or wherever it's going) yourself, then mark it as Published in Say Less Office to keep your calendar tidy.

If your client sends a post back for a rewrite instead of approving it, the status flips to Revision needed and the ball is back in your court until you fix it and resend.
